Build a consistent boundary

Enter scoped supplier implementation and integration costs, then add internal project hours at a loaded hourly rate. Include software, support, hosting, backup testing and recurring interface maintenance in the annual amount. The exit field represents a one-time allowance at the end of the planning horizon. Avoid counting the same work in both supplier fees and internal hours.

Formula and illustrative example

Upfront = implementation + internal hours × hourly cost. Total ownership cost = upfront + annual operating cost × years + exit cost. With the illustrative defaults, $80,000 + 600 × $60 = $116,000 upfront. Five years of $30,000 annual costs and a $10,000 exit allowance produce $276,000 total, or $55,200 per year. These are invented planning inputs, not vendor prices.

Limits

The model uses constant annual costs and no discounting, inflation, tax, financing or depreciation. Use a spreadsheet for phased deployments, changing subscription tiers or cash-flow timing. Document exclusions and compare alternatives using the same horizon. Zero years is invalid; negative or missing inputs must be corrected.
